To auto-archive Gmail messages, create a filter and select “Skip the Inbox.” Do this only after the same rule has labeled messages accurately for a trial period. Archive is reversible, but hidden mail can still cause a missed reply.

Auto-archive with a Gmail filter

  1. Open Gmail on a computer.
  2. Click the search-options icon in the search bar.
  3. Enter narrow criteria, such as list:newsletter.example.com.
  4. Click Search and review the results.
  5. Reopen search options and click Create filter.
  6. Select Skip the Inbox (Archive it).
  7. Also select Apply the label and choose a clear label.
  8. Save the filter.

Google’s filter help page has the current interface steps.

Good auto-archive candidates

Start with messages that are predictable, low risk, and easy to find later:

  • newsletters you read in a batch
  • routine build or monitoring notices
  • receipts from a known vendor
  • automated social notifications
  • copies of forms already recorded elsewhere

Apply a label even when archiving. The label gives you a review location and makes failures easier to spot.

Messages that should usually stay visible

Avoid broad archive rules for:

  • account security and sign-in alerts
  • bills, payment failures, and bank notices
  • legal or compliance messages
  • mail from family, managers, or key customers
  • any category defined only as “not important”

If the category contains both disposable and high-stakes mail, split it or keep it in the inbox.

Use a label-only trial

For seven days, let the rule apply a test label without skipping the inbox. At the end of the week, inspect every match.

Count wrong matches and ask what the cost would have been if each one were hidden. A category with one serious false positive is not ready for automatic archive, even if most matches were correct.

Archiving with an AI tag

AI can identify semantic categories that do not share a sender or subject. A tag for unsolicited sales outreach, for example, may catch varied wording.

Because this is a classification rather than a fixed query, use a longer label-only trial. Write explicit exclusions and keep uncertain messages visible. Sortie can apply a Gmail label and archive a chosen category, but archiving remains an option you control.

Compare the methods in Gmail filters vs. AI email tagging.

Recover and revise

Archived messages remain in All Mail and Gmail search. To stop new matches, edit or delete the filter under Settings > See all settings > Filters and Blocked Addresses.

If a message was archived incorrectly, refine the criteria and restore label-only behavior. Do not fix a broad rule with a long chain of fragile exceptions. When the category depends on meaning, use a reviewed AI tag or leave it manual.
