2. Information We Collect

2.1 Information You Provide

• Account Information: Email address, password, and optional name when you create an account
• Payment Information: Billing details processed securely through Stripe (we do not store full credit card numbers)
• Custom Categories: AI tag criteria, Gmail labels, and handling settings you create to customize email categorization
• Support Communications: Information you provide when contacting us for support

2.2 Information from Third-Party Services

• Gmail (Google): When you connect your Gmail account, we access email metadata (sender, subject, date) and email content to perform AI classification. We use Google's OAuth 2.0 for secure authorization.
• Slack: When you connect Slack, we access your workspace information and the ability to post messages to your selected channel for notifications.

2.3 Automatically Collected Information

• Usage Data: How you interact with the Service, features used, and actions taken
• Device Information: Browser type, operating system, device identifiers
• Log Data: IP address, access times, pages viewed, referring URLs
• Marketing Analytics: If you accept analytics on our public marketing pages, Google Analytics receives the page path and title, referring-site origin, allow-listed campaign parameters, signup-button placement, and standard browser, device, session, and approximate location information. Google Analytics is not loaded inside your Sortie account.

3. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Service
• Process your emails through AI classification to assign configured categories and labels
• Send notifications to your connected Slack workspace for the categories you choose
• Process payments and manage your subscription
• Send you service-related communications (account updates, security alerts)
• Respond to your support requests and inquiries
• Monitor and analyze usage patterns to improve user experience
• Detect, prevent, and address technical issues and security threats
• Comply with legal obligations

4. How We Share Your Information

We do not sell your personal information. We may share information with:

4.1 Service Providers

• AI Providers: Depending on the AI model selected for your account or prompt, email metadata and content may be sent to OpenAI, Google Gemini, or Anthropic Claude for classification, summaries, and routing decisions. These providers process data according to their respective privacy policies: OpenAI, Google, and Anthropic.
• Stripe: Payment processing is handled by Stripe according to their Privacy Policy.
• Google: Gmail integration is subject to Google's Privacy Policy.
• Slack: Slack integration is subject to Slack's Privacy Policy.
• Hosting Providers: Amazon Web Services (AWS) for infrastructure hosting.
• Google Analytics: If you accept analytics, Google processes public-site usage data so we can understand how visitors find and use Sortie's marketing pages. We disable advertising signals and do not send names, email addresses, mailbox data, Gmail labels, account identifiers, payment identifiers, OAuth values, form contents, or free-form text. 4.2 Legal Requirements

We may disclose your information if required by law, court order, or government request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

4.3 Business Transfers

If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

5. Data Retention

• Email Content: We do not permanently store the full content of your emails. Email content is processed in real-time for classification and then discarded. We retain only email metadata (sender, subject, classification result, AI summary) for your email history.
• Account Data: We retain your account information for as long as your account is active or as needed to provide services.
• After Account Deletion: Upon account deletion request, we will delete your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., fraud prevention, legal compliance).
• Google Analytics: User-level and event-level analytics data is retained for two months. Aggregated reports may remain available after that period.

6. Data Security

We implement appropriate technical and organizational security measures to protect your information, including:

• Encryption of data in transit (TLS/SSL) and at rest
• Encrypted storage of OAuth tokens and sensitive credentials
• Regular security assessments and monitoring
• Access controls limiting employee access to personal data
• Secure cloud infrastructure with AWS

While we strive to protect your information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

7. Your Rights and Choices

7.1 Access and Portability

7.2 Correction

You may update your account information through your dashboard settings or by contacting us.

7.3 Deletion

You may request deletion of your account and associated data by contacting us. Certain data may be retained as required by law.

7.4 Disconnect Third-Party Services

You may disconnect your Gmail or Slack accounts at any time through your dashboard. This will revoke our access to those services.

7.5 Email Communications

You may opt out of promotional emails by following the unsubscribe link. Service-related emails (security alerts, billing notices) cannot be opted out of while your account is active.

7.6 Analytics Choices

Google Analytics stays off unless you select "Accept analytics" on a public marketing page. If you accept, Google may set first-party analytics cookies such as _ga. Your choice is stored in your browser. Use the "Analytics choices" link in the site footer to change it. Declining or withdrawing consent stops the Google tag from loading on future page views and removes Sortie's Google Analytics cookies from your browser. You can also use Google's Analytics opt-out browser add-on.

8. Google API Services User Data Policy

Sortie Email.ai's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

• We only request access to the Gmail scopes necessary to provide our email classification and labeling service
• We do not use Gmail data for advertising purposes
• We do not allow humans to read your emails unless required for security purposes, to comply with applicable law, or with your explicit consent
• We do not transfer Gmail data to third parties except as necessary to provide the Service, such as the selected AI provider for classification, with your consent, or as required by law

9. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

• Right to Know: Request information about the categories and specific pieces of personal information we collect
• Right to Delete: Request deletion of your personal information
• Right to Opt-Out: We do not sell personal information
• Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights

10. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence, including the United States.
